Meeting minutes from January 3, 2009
Pioneer Cavy Fanciers
Minutes taken by Stine, secretary.

Present: Dana Kolstad, Linda Loucks, Stine Theede, Marla Schaefer, Megan Buxton, Debbie Buxton.

Dana reported that new items have been purchased for the club for holding shows and such: 1 trailer, materials for framing
for the trailer, 5 tables for judging + materials for legs and covers. Marla volunteered to sow the covers. 12 other tables for
banquets, cages, secretary etc., 2 chairs, a tea kettle + a coffee pot.

A new show software program has been paid for and should be on its way.

Dana presented advantages to changing the club’s fiscal year to February 1st - December 31st. It relates to the
scheduling of our board meetings. The quarterly reporting stays the same.

The club could really use a new scale for weighing cavies at shows, and Dana has researched prices. It was decided to
give Dana liberty to chose and buy one.

An audit committee was chosen: Linda and Stine.


Old business

The minutes from the last meeting were accepted with a modification (typo).

Nancy could tell – over the phone – that Royalty information and forms were just about ready to be sent out. She
promised to e-mail it to Dana and Stine for help with distribution and to go on the club website. Nancy mentioned that she
needs help getting animals for carious royalty classes.

Dana could tell that the February show at Karcher Mall will take place in the big room near the pet store, not the hallway.
There will be a pet show with a $1 fee and Megan as superintendent. She was given a budget of $10 for rewards. The
youth show will not be sanctioned unless someone offers to pay it. It will have a floating super. Jason will be judging it
and as a special offer, the entry fee pr. animal is only $2. Debbie will help with e-mailed pre-entries

For the April show in Rupert, Marla was confirmed as in charge of raffle and awards. The youth show will be the regular
fee, not like the February special fee. We plan to have coffee, tea and hot chocolate available to purchase. Linda will
bring a supply of water.

The board was voted the same in the election and Nancy Richmond is again director, while Brittany Bellows and Cindy
Newton are new.


New business

The 2010 Specialty lies in May, sometime after the Rupert show.
Next meeting was set for April 11 and Noon at the Buxton residence in Caldwell. Potluck!
